These Terms & Conditions apply to all Spa Day packages, treatments, and services booked with The Gainsborough Health Club & Spa (“the Spa”, “we”, “us”, “our”). By making a booking, you agree to the following terms.
1. Bookings & Payments
All bookings must be paid in full at the time of reservation unless otherwise agreed.
Bookings are non-transferable without prior consent from the Spa.
It is the customer’s responsibility to ensure all booking details are correct at the time of purchase.
We reserve the right to refuse or cancel any booking at our discretion.
2. Incorrect Location Bookings (Important Notice)
Due to the similarity in name with other properties, including The Gainsborough Spa in Bath, customers must ensure they are booking the correct location.
All bookings made through our website, email, or phone are for: The Gainsborough Health Club & Spa, Suffolk
Customers may request a cancellation or amendment for an incorrectly made booking within 24 hours of the original booking time, provided the booking is not within 7 days of the arrival date.
After this 24-hour period has passed, no refunds will be issued for bookings made in error, including those intended for a different location.
All bookings after this period remain subject to the standard cancellation terms outlined below.
At our discretion, we may offer to amend or transfer a booking; however, this is not guaranteed.
3. Medical & Health Information
All guests must complete a medical consultation form prior to arrival.
Treatments may be modified or declined based on medical conditions, allergies, or contraindications.
It is your responsibility to provide accurate and complete health information.
We accept no liability for issues arising from undisclosed or inaccurate information.
4. Spa Access & Facilities
Spa Day Packages include access to facilities and complimentary hire of 1 robe and 1 towel per person.
Treatment-only bookings do not include use of facilities or robe/towel hire (available at an additional charge).
Guests must bring appropriate swimwear and suitable footwear.
Access is limited to the time period booked.
5. Opening Hours & Arrival
Full Day: 9:00am – 5:00pm
Half Day:
Morning: 10:00am – 2:00pm
Afternoon: 1:00pm – 5:00pm
Treatment-only guests must arrive 10–15 minutes prior to their appointment.
Late arrival may result in reduced treatment time without refund.
6. Food & Beverage
Guests must inform us of dietary requirements in advance.
Only food and drink purchased at the Spa may be consumed on the premises.
External food and beverages are not permitted.
Food included within packages is subject to availability and third-party supplier terms.
More than 30 days before arrival: £10 administration fee per person
Between 7 and 30 days: 50% charge per person
Within 7 days: 100% charge (no refund)
Non-arrival: 100% charge
Amendments
Changes within 10 days of arrival: £5 administration fee per person
Treatments
Cancellation within 48 hours: 50% charge
Food
Cancellation within 48 hours: 100% charge (due to external suppliers)
8. Facility Availability
We aim to ensure all facilities and services are available; however, availability cannot be guaranteed.
Certain areas may be temporarily unavailable due to maintenance, safety, or circumstances beyond our control. No refunds, discounts, or compensation will be offered for unavailable facilities. We also aim to curate a relaxing enviroment, but distubances from guests or neigbouring properties will not be taken into consideration.
9. Behaviour & Conduct
Guests must behave respectfully toward staff and other guests at all times.
We reserve the right to refuse entry or remove any guest for inappropriate, disruptive, or unsafe behaviour without refund.
Excessive noise, intoxication, or misuse of facilities will not be tolerated.
10. Personal Belongings
Lockers are provided where available; however, all belongings are left at your own risk.
We accept no responsibility for loss, theft, or damage to personal items.
11. Photography & Media
The Spa may capture photography or video content for marketing purposes.
By entering the premises, you consent to being included unless you notify reception on arrival.
Guests must not photograph or record other guests or staff without permission.
12. Privacy & Data Protection
Personal data is processed in accordance with applicable UK data protection laws.
Information is used for booking management, service delivery, and marketing (where consent is given).
We do not sell personal data and only share it where necessary for service provision.
You have the right to access, amend, or request deletion of your data.
13. Gift Vouchers
Gift vouchers are non-refundable and cannot be exchanged for cash.
Expiry dates apply and will not be extended unless required by law.
Vouchers must be presented at the time of booking or arrival.
14. Pregnancy & Medical Conditions
Certain treatments may not be suitable during pregnancy or for specific conditions.
Please inform us at the time of booking to ensure appropriate services can be arranged.
15. Liability
All treatments and use of facilities are undertaken at the guest’s own risk.
We are not liable for injury, loss, or damage unless caused by proven negligence.
Guests must follow all health and safety instructions provided.
16. Children & Age Restrictions
Minimum age restrictions apply to Spa access and treatments.
Under 18s must be accompanied by a responsible adult where permitted.
17. External Contractors
Some services may be delivered by third-party providers.
While we work with trusted partners, we are not liable for their actions or omissions.
18. Force Majeure
We are not liable for failure to perform services due to events beyond our control, including but not limited to extreme weather, power failure, or government restrictions.
19. Changes to Terms
We reserve the right to update these Terms & Conditions at any time.
